Scope & who we are

This Privacy Policy applies to the Fravano workforce management platform, the marketing site at fravano.com, and any related services we offer (the "Service"). Fravano is operated by Fravano LLC, headquartered in Tampa, Florida.

When your employer or organization uses Fravano, that organization is the "Controller" of your personal data and Fravano is the "Processor." This policy describes both how Fravano acts as a Controller (for example, for our marketing site and direct customers) and how we act as a Processor on behalf of organizations that use the Service.

Information we collect

We collect information you give us directly, information we collect automatically when you use the Service, and information from third parties when authorized.

Information you provide

  • Account and profile information (name, email, role, profile photo).
  • Employment information administered by your organization (employee ID, department, schedule, location assignments).
  • Attendance records you submit (check-in / check-out timestamps, justifications, attached documents).
  • Communications you send us (support tickets, sales inquiries, careers applications).

Information collected automatically

  • Device, browser, and connection metadata (IP address, user agent, language).
  • Geolocation data when required for attendance verification (only with your authorization and only at the moment of check-in).
  • Biometric template data when face verification is enabled by your organization. We store only mathematical templates, never raw images, and you can request deletion at any time.
  • Usage telemetry (pages visited, actions taken, error logs) to operate, secure, and improve the Service.

How we use information

We use personal data to:

  • Provide, maintain, and improve the Service.
  • Authenticate users and prevent fraud or abuse.
  • Verify attendance, location, and identity when configured by your organization.
  • Communicate with you about your account, updates, and support requests.
  • Comply with applicable legal, tax, and regulatory obligations.
  • With your consent, send product news and offers (you can opt out at any time).

We do not sell personal data, and we do not use it for advertising profiling.

Sharing & disclosure

We share personal data only as needed to provide the Service and only with parties bound by appropriate confidentiality and data-protection terms:

  • Your organization. Administrators and managers of the organization that engaged Fravano can access the records associated with your account.
  • Service providers. Cloud hosting, email delivery, analytics, error monitoring, and payment processing partners that operate under contract.
  • Legal & safety. When required by law, court order, or to protect the rights, safety, or property of Fravano, our customers, or the public.
  • Business transfers. In connection with a merger, acquisition, or asset sale, subject to standard confidentiality safeguards.

Data security

We protect personal data with industry-standard administrative, technical, and physical safeguards, including encryption in transit (TLS 1.2+) and at rest (AES-256), role-based access controls, audit logging, multi-factor authentication for administrators, and regular vulnerability testing.

No system is perfectly secure. If you discover a security issue, please report it to security@fravano.com so we can investigate promptly.

Data retention

We retain personal data for as long as your account is active or as needed to provide the Service. Attendance and payroll-related records may be kept longer to comply with employer-record laws (typically up to seven years). When data is no longer needed, we delete or anonymize it according to our retention schedule.

Cookies & tracking

We use cookies and similar technologies for authentication, language preferences, security, and analytics. Strictly necessary cookies are always on; analytics and preference cookies can be controlled through your browser settings or our cookie banner where applicable.

Your rights

Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal data, and to object to certain processing. To exercise these rights, contact privacy@fravano.com or your organization's administrator. We will respond within the timeframes required by applicable law (typically 30 days).

If you are in the European Economic Area, United Kingdom, or Switzerland, you can also lodge a complaint with your local data-protection authority.

International transfers

Fravano is operated from the United States. If you access the Service from outside the U.S., your personal data may be transferred to and processed in the U.S. or other countries. We use appropriate safeguards, including Standard Contractual Clauses, where required by law.

Children's privacy

The Service is not intended for individuals under 16. We do not knowingly collect personal data from children. If we learn we have collected data from a child, we will delete it promptly.

Changes to this policy

We may update this policy from time to time. When we make material changes, we will notify account holders by email or through an in-product notice at least 30 days before they take effect, unless a shorter notice is required by law.
